This Employee News is to make all employees aware that the Council was recently on the receiving end of an attempted scam relating to printer toner.
An employee of the Council reported a suspicious telephone call and email from someone allegedly calling from Xerox, requesting an order for printer ink.
The call was from a male voice who asked to speak to one of the Team Leaders by name. The caller introduced himself as Mike from Xerox and advised that he was calling to order printer ink over the phone. The caller was in possession of accurate make, model, and serial number information regarding the printer in the relevant office.
The employee correctly advised the caller that this was not the normal process and asked if he could send the request by email. When this was received it was noted that the email address was not from Xerox (see email header below). When challenged about this, the call was ended.

Colleagues in ICT Services have confirmed that this is a known scam. The email domain has been blocked, and work is in progress to block the telephone number and website.
The Council avoided falling victim to a serious scam thanks to the vigilance of the employee concerned, who challenged both the process and then the email.
It is critical that you do not respond to external calls asking for a toner order.
The new printers will auto-order toner when supplies are low. During transition to the new machines, there is a process in place to manually order supplies on the Xerox Fleet Management Portal, where a new machine has not yet been added to the Xerox server. This is administered by Information Management.
Key users have been added to the portal to allow departments to report faults and request toner, where a machine is not yet auto-ordering.
