In Employee News 04, issued on 10 February, we updated you on our migration from IBM Notes to Microsoft Outlook, which is now well under way.
We also advised that because we will be operating two email systems as we transition, we will need to take a different approach to booking meeting rooms and resources such as pool cars so that these are not double booked through two different systems.
The common platform that is accessible to those still using IBM Notes and those already migrated to Microsoft Outlook is Microsoft Teams. From Wednesday 22 February, meeting rooms and resources such as pool cars and pool bikes should ONLY be booked through your Microsoft Teams calendar. All existing bookings in IBM Notes will be automatically transferred over to the Teams Calendar.
A step-by-step guide to show you how to book has been published to the FAQs and Support [opens in a new window] section of our M365 Adoption Hub [opens in a new window]. This is a straightforward process, similar to the way bookings are currently made in the IBM Notes calendar.
For pool cars, this step-by-step guide ONLY affects the booking of pool cars based at Broomhill and Hilton Depot. The local arrangements in place for pool cars based at William Patrick Library, Southbank House, Kelvinbank and KHCC remain unchanged.
