The purpose of this Technical Note is to update Members in relation to a recent issue affecting the alert emails issued by Modern.Gov when Agenda papers are published.
Members currently receive an email when agenda papers for a meeting are published. These emails are automatically generated by the Modern.Gov system.
Officers have been made aware that a recent alert email was captured by the Council’s firewall and placed in quarantine. This can happen where an email is identified as a bulk issue (and so likely spam) or where it is from an unsecure or high-risk source. These emails are stopped and placed in quarantine, pending confirmation from the intended recipient.
This filtering and quarantine process is managed by an external email filtering contractor. The contractor applies rules to emails before they enter the Council’s system and then generates a quarantine report which is emailed to the intended recipient. These emails will appear in your inbox from “Fuse Mail Spam Report” and the subject matter is “Quarantine Summary Report”.
It is not clear why the Modern.Gov auto alert emails have been captured by the filter and colleagues in ICT have contacted the contractor to ensure that they are removed from the bulk categorisation which should prevent this from happening in future. Meantime, you may wish to check whether you have any auto alert emails trapped in the filter.
Notwithstanding the above, Members should note that the relevant papers will be available within the Modern.Gov app, even where the auto alert email has been placed in quarantine.
