Employee News 2021, Issue 06/2021 - Accounts Payable Year-End Timetable 2020/21

ALL NON-IPROC INVOICES & MISC PAYMENTS

The Final date for 2020/2021 Non-iProc invoices to be with Accounts Payable is 4pm on Thursday 8 April 2021 for final input by lunchtime on Wednesday 14 April 2021. For clarity, Non-IProc invoices are those which are not processed against a purchase order to enable payment.

Non-iProc invoices received after 8 April 2021 will not be input to the Old Year even if they are marked Old Year. They will be treated as New Year invoices.

Please ensure that all Batch Headers are marked Old Year or New Year. Those not marked will be treated as New Year.

As we are all still working from home and all invoices and payments are being sent to the e-billing address - bhebill@eastdunbarton.gov.uk - can we ask that if it is an OLD YEAR invoice, this is noted in the e-mail subject header. The same applies to NEW YEAR invoices.

ALL IPROC USERS

For iProc users the most important task at the year-end is ensuring that all goods and services are receipted on the system. If received on or before 31 March 2021, invoices will be matched and processed for payment in the usual way.

All iProc users must ensure that all goods and services which have been received on or before 31 March 2021 are receipted with a receipt date no later than 31 March 2021. This must be done by Friday 9 April 2021 at the latest to ensure that costs are accounted for in 2020/2021. This is extremely important and no exceptions can be made.

Invoices must be forwarded to Accounts Payable at bhebill@eastdunbarton.gov.uk if not sent direct from the supplier. Adding as an attachment to the iProc requisition does not enable payment.

All outstanding queries relating to iProc - i.e. Price/Qty Rec/Qty Ord holds - must be dealt with promptly in line with the above dates to ensure that invoices can be processed correctly.
